This blog post takes a more captivating approach to the success story of Vcidex Solutions' procurement portal for a Singapore hospital. Here's the enhanced version:
Imagine a healthcare system where hospitals no longer struggle with overflowing storage rooms or time-consuming purchase orders. This was the reality facing Singapore's extensive network of hospitals, each juggling interactions with numerous suppliers and internal departments. The result? A complex and inefficient procurement process.
We saw an opportunity to revolutionize hospital procurement.
Our challenge: streamline ordering, ensure timely deliveries, and eliminate unnecessary inventory burdens.
The answer? A custom-built procurement portal acting as a virtual, just-in-time inventory management system.
At Vcidex, we pride ourselves in delivering innovative solutions that provide maximum benefit with minimal effort. This is one of our most successful projects exemplifying an innovative approach: the procurement portal for Singapore hospitals. Completed in just three months, this stands as one of our largest and most impactful initiatives.
Singapore’s healthcare system comprises several hospital groups, with each group consisting of up to 15 hospitals. These hospitals, in turn, interact with around 25 suppliers to procure essential consumables. Managing these interactions efficiently was a complex task, given that each hospital had numerous departments and users involved in the procurement process.
The primary goal was to create a system that would simplify the ordering process, ensure timely delivery, and maintain inventory without burdening the hospitals with storage costs. Additionally, the system needed to work seamlessly with existing ERP solutions like Oracle and SAP without exposing sensitive internal systems.
To address these needs, we developed a custom procurement portal. This portal functions as a just-in-time inventory management system. Here’s how it works:
The core concept behind the portal is the standardization of vendors, products, and prices. Each of the 15 hospitals, with a combined total of around 600 departments, interacts with predefined vendors offering predefined products at predefined prices. This standardization streamlines the procurement process and reduces the likelihood of errors.
Each department, comprising approximately 600 users in total, has access to the procurement portal. Users simply log in, select the products they need, and place their orders. Orders placed by Monday afternoon are delivered by Wednesday, while those placed by Wednesday morning are delivered by Friday.
This approach eliminates the need for hospitals to maintain large inventories, as they only keep a week's worth of stock on hand. Suppliers, with their extensive warehouses, manage the inventory and ensure timely deliveries.
One of the significant advantages of our system is its integration with the hospital’s existing Oracle and SAP ERP systems. However, instead of granting 600 users access to these core systems, the procurement portal serves as the intermediary. Users interact solely with the portal, which then handles the interaction with the ERP systems.
The portal automatically matches selected products with the appropriate vendors and prices, generating purchase orders that are sent directly to suppliers. This automation reduces the workload on hospital staff and ensures consistency and accuracy in the ordering process.
At the end of each month, the system generates a consolidated report detailing the procurement activities of each department. This report is sent to the procurement department, which uses it to issue purchase orders for payment. The details of individual transactions are maintained within the e-procurement portal, ensuring data security and simplifying the payment process.
