Authentication and Login Data

The Storyboard Approvals Mobile Application requires users to authenticate using a Company Code, Username, and Password to access the platform. The following applies to login and authentication data:

Company Code and User credentials are assigned and managed by the organization administrator.
Passwords are encrypted and stored securely. VCIDEX SOLUTIONS PVT LTD does not have access to users' passwords in plain text.
Login session data is maintained temporarily to keep the user authenticated during active use of the application.
Failed login attempts may be logged for security and fraud prevention purposes.

Important: Users are advised to keep their login credentials confidential at all times. VCIDEX SOLUTIONS PVT LTD does not request passwords through any communication channel under any circumstances.

The Storyboard Gym Mobile Application developed by VCIDEX SOLUTIONS PVT LTD is a fitness and gym management platform designed for gyms, fitness centres, and wellness organizations using the Storyboard system. The application has separate interfaces for members and trainers. The following explains how the application collects, uses, and manages member, trainer, and business data.

Authentication and Login Data

The Storyboard Gym Mobile Application requires users to authenticate using a Company Code, Username, and Password to access the platform. The following applies to login and authentication data:

Company Code and User credentials are assigned and managed by the organization administrator (gym/fitness centre).

My Workout: The application displays assigned workout plans, exercises, sets, reps, and workout schedules linked to the member's profile.

Punch In / Punch Out: The application allows trainers to record daily attendance through punch-in and punch-out timestamps.
Add Enquiry / Enquiry List: The application allows trainers to create and register new member enquiries and view assigned enquiries for follow-up and conversion tracking. Enquiry data may include prospective member contact details and enquiry status.
Assign Program / Assigned Programs: The application allows trainers to assign workout programs to members based on fitness goals and view completion status of assigned programs.
Program Report: The application generates reports on assigned programs, member progress, and completion status for review by trainers and authorized staff.

Purpose of Data Collected Through the Gym Application

Data collected and processed through the Storyboard Gym Mobile Application is used exclusively for the following purposes: membership and fitness service management, attendance and trainer session tracking, enquiry and conversion tracking, real-time notification of membership and assessment events, billing and package status tracking, and supporting operational and fitness management decisions by the organization using the platform.

Data Access and Security

All member profiles, health and fitness records, attendance data, trainer session data, enquiry data, and billing information processed through the Storyboard Gym Mobile Application are securely stored and accessible only to authorized users within the respective organization. Role-based access controls ensure that sensitive member and business data is available only to permitted personnel based on their assigned security role. Member account data is managed by the organization administrator; deletion or modification requests must be submitted to the organization administrator or to VCIDEX SOLUTIONS PVT LTD through the contact details provided in this Privacy Policy.

STORYBOARD INVOICE GENERATOR (SHOPIFY APPLICATION)

The Storyboard Invoice Generator developed by VCIDEX SOLUTIONS PVT LTD is a Shopify application that enables merchants to generate PDF invoices from their store orders. The following explains how the application collects, uses, and manages data.

Authentication and Access

The application does not require a separate username or password; merchants access it through their Shopify admin using Shopify's secure session tokens.
Store access credentials (API tokens) are issued by Shopify during installation and stored securely by VCIDEX SOLUTIONS PVT LTD.
Access tokens are never shared with third parties or exposed in plain text.

Data Collected

Store order data: order numbers, dates, line items, quantities, prices, taxes, discounts, and totals, accessed solely to generate invoices.
Customer information attached to orders: name, billing address, shipping address, and phone number, used only to populate the invoice requested by the merchant.
Store information: the store domain and installation details required for the application to function.

Purpose of Data Collection

Data is used exclusively to generate PDF invoices at the merchant's request.
Data is never used for advertising, marketing, analytics, or any other commercial purpose.

Data Rights and Deletion

Customer data access requests are received through Shopify's customers/data_request webhook and processed accordingly.
Customer data deletion requests are received through Shopify's customers/redact webhook, and the relevant data is deleted within 30 days.
When a merchant uninstalls the application, store data is deleted within 30 days via Shopify's shop/redact webhook.

Data Access and Security

All data is transmitted over encrypted HTTPS connections.
Incoming webhooks from Shopify are verified using HMAC-SHA256 signatures.
Order and customer data is stored only as long as required to provide the service.

Location Data Collection

The application collects precise device location in the following situations:

When an employee performs Punch In
When an employee performs Punch Out
Every 5 minutes during active work sessions

Background Location Access

The Storyboard mobile application may collect location data in the background during active work sessions. Background location access is enabled only after the employee performs Punch In.

Background location tracking continues periodically during the active work session and automatically stops when the employee performs Punch Out.

Purpose of Location Data

Location data is used exclusively for employee attendance verification, work location validation, and field activity monitoring by the employer using the Storyboard workforce management system.

Data Access and Security

All collected location data is securely stored and accessible only to the authorized employer or organization managing the employee through the Storyboard system.

All costing data entered by the user is stored securely and linked to the user's account.
Fabric and Master Data Management: Users may enter and store fabric specifications, yarn details, brand information, color data, process configurations, and unit details. This master data is retained for future reference and reuse within the application.
Quality Control (QC) Management: The application supports creation of QC inspection records, testing results, multi-level approval workflows, and audit trails. Data related to QC approvals, rejections, remarks, and observations is stored and accessible to authorized personnel within the organization.
PDF Report Generation and Sharing: The application generates professional costing reports in PDF format. These reports may be downloaded, shared via WhatsApp, or distributed to customers and internal teams. Users are responsible for ensuring appropriate consent when sharing reports containing business or third-party data.
